Most run-of-show documents look fine on paper because every segment is written at its ideal length. On the day, toasts run long, a speaker takes questions, and a band changeover eats ten extra minutes. Those small overruns stack up, and by the third hour the timeline is fiction and the venue hard stop is suddenly real. This calculator shows you, before the event, whether the program you have drafted actually fits in the time you have.

You enter how many segments are on the program, their average planned length, the transition time between them, and the overrun you honestly expect per segment. The tool multiplies segment time by that overrun (transitions are left as written), adds it up, and compares the projected length against the hours between program start and the hard stop. The result is the slack you have, or the minutes you need to trim. It is a straight arithmetic estimate, not a prediction of how any single segment will behave.

How to use this tool

  1. Count the timed segments on your draft run of show and enter the average planned length and the transition time you write between them.
  2. Enter the overrun percentage you honestly expect from past events, then the hours between program start and the hard stop.
  3. Read the slack figure. If it is negative, trim segments or transitions until the verdict says the program fits, then build those buffers into the timeline.

What the math assumes

  • Every segment overruns by the same percentage you enter; the tool does not model one segment blowing up while the others run tight.
  • Transitions are counted once between each pair of segments (segments minus one) and are not inflated by the overrun percentage.
  • The hard stop is fixed; the tool does not account for any ability to extend the venue booking.
  • Negative slack means the program as written does not fit and the minutes shown must be cut from segments or transitions.
  • No default overrun percentage is a benchmark; it is a starting point you should replace with your own event history.

Frequently asked questions

What overrun percentage should I use if I have no history from past events?

Start with the default, run the numbers, then run them again at a higher value to see how fragile the schedule is. The honest answer is that the right number comes from timing your own events, which is exactly what a shared run of show lets you do afterward.

Should I add buffer blocks to the timeline or just shorten segments?

Both work, but named buffer blocks are easier to protect on the day. If the slack figure is positive, spread it as short buffers after the segments most likely to run long, such as speeches and meal service.

Does this account for the event starting late?

Not directly. If doors or the ceremony usually start late, either reduce the hours in the window input or treat the late start as an extra segment with its own length.
